What are deals (and what to do if data is wrong?)

Which Deals Are Visible in Centify

Centify synchronizes all deals that are accessible through the CRM connection, regardless of their current stage or commission eligibility. This means that deals are visible in Centify even if they are still open, not commissionable, or assigned to owners who have not yet been created as users in Centify.

The visibility of deals in Centify depends on the CRM permissions of the administrator who originally connected Centify to your CRM. Centify can access and display all deals that this administrator is authorized to view in the CRM. As a result, the Deals section can be considered a complete representation of your CRM pipeline and can be used for research, validation, and commission-related reviews directly within Centify.

Viewing Deal Details

You can open any deal by clicking on it in the Deals list. This opens the deal detail panel, where all synchronized CRM data fields associated with the deal are displayed.

Centify organizes deal information into several logical categories to make navigation and review easier.

  • The General section shows structural information about the deal, such as the territory or region assigned to it. This is especially important if your commission logic depends on territories.

  • The Owner section displays ownership information, including who currently owns the deal and who originally created it. This information is relevant for determining commission eligibility and attribution.

  • The Amounts section lists all monetary values associated with the deal, such as the total deal value and other currency-based fields. These values often form the basis for commission calculations.

  • The Dates section contains important timeline information, such as the deal closing date, invoicing date, or cancellation date. These dates are frequently used to determine commission eligibility, payout timing, and target assignment.

  • The Other section contains additional CRM-specific data points, such as contract duration, deal type, or other custom properties that may influence commission logic.

If the deal is shared between multiple owners, the Deal Splits section displays the percentage allocation across owners. This ensures that commissions can be calculated and attributed correctly when multiple employees are involved.

Manually Synchronizing a Deal

In some cases, a deal may not appear in Centify, or its data may be incomplete or outdated. This can happen if recent changes in the CRM have not yet been synchronized.

To manually resynchronize a deal, open the deal detail panel and click the “Sync Deal” button located in the top-right corner next to the deal name. This will refresh the deal data and ensure that Centify reflects the most current information from your CRM.

Understanding Deal History with the Audit Trail

Centify provides full transparency into deal ownership and pipeline stage changes through the Audit Trail tab within the deal detail panel.

The Audit Trail displays a chronological activity feed showing when ownership changes occurred and when the deal moved between pipeline stages. Each change is recorded with a timestamp, allowing you to understand exactly when and how the deal progressed through the pipeline.

This information is essential for verifying commission eligibility and understanding how commission-triggering events occurred.

Adjusting Pipeline Stage Data

Within the Audit Trail, you may notice two options related to pipeline stages: Adjust Date and Ignore Stage.

  • The Adjust Date option allows you to modify the recorded date when the deal entered a specific pipeline stage. This can be useful if the stage transition date in the CRM was incorrect or needs adjustment for accurate commission attribution.

  • The Ignore Stage option allows you to exclude a specific pipeline stage entirely. When a stage is ignored, Centify treats the deal as if it never entered that stage.

These controls provide flexibility to correct or refine deal progression data when necessary.

Important Consideration for Commission Calculation

Pipeline stage dates and ownership information are often used to determine incentive eligibility, target assignment, and commission calculations. As a result, adjusting or ignoring pipeline stages can directly impact commission results.

For this reason, changes to pipeline stage data should be made carefully and only when necessary to ensure accurate and compliant commission calculations.
